Job Summary

WXY has an opportunity for a full-time Operations & Administrative Coordinator to join our growing firm. The successful candidate will work under the Principals, CFO and Human Resources & Operations Manager to perform an array of administrative and operational functions that support WXY’s successful practice.

 

The Operations & Administrative Coordinator will work to maintain a pleasant work environment, organize and coordinate office and building administration, as well as procedures to ensure organizational effectiveness, efficiency and safety. They are responsible for supporting the development of office communication protocols, streamlining administrative processes, office staff supervision and task delegation. In addition, this person will support the Marketing Coordinator to improve the firm’s external reputation through marketing strategies.

 

The position will require close collaboration with all members of the studio, namely the principals and operations/administrative/marketing staff.

Responsibilities

  • Manage daily office operations and tasks, including disseminating the mail, greeting visitors, assisting with setup for client and office-wide meetings, ordering food, office supplies and equipment, and managing waste.
  • Act as the point person for facilities maintenance, shipping, supplies and equipment.
  • Vendor management, including communication and office invoices.
  • Assist in the management of the building’s second and fourth floors, handling expenses, invoices, allocating utilities and communication.
  • Routinely check and maintain general WXY office email inbox.
  • Maintain office operational budgets, manage office credit cards and expenses.
  • Track WXY sponsorships and donations.
  • Manage office-wide calendar and communications.
  • Support Human Resources & Operations Manager in developing and maintaining records for all administrative data.
  • Support Marketing Coordinator in maintaining the firm Org Chart and Seating Plan.
  • File incoming resumes in the appropriate folder(s) on the server.
  • Act as liaison and support to IT consultant (as needed).
  • Support the planning and facilitation of studio and intern events, including semi-monthly in-office meetings, firm outings, parties, happy hours, etc.
  • Support staff onboarding and offboarding.
  • Track staff benefits related to professional development.
  • Support Marketing Coordinator by handling social media posts, engagement, analytics reporting and strategy, as well as drafting award/speaker submissions, and coordinating the materials for PR efforts.
  • Provide ad hoc support for all Principals and senior staff (as needed), including with logistics and travel.

 

Qualifications

  • Bachelor's degree preferred and 1-3 years of professional office experience related to operations
  • Working knowledge of architecture, urban design and planning professions is an asset.
  • Well-organized, self-motivated, detail-oriented, able to work on a variety of tasks simultaneously and to work independently with little or no supervision.
  • Strong technical aptitude and ability to learn new systems preferred.
  • Strong written and verbal communication skills necessary, with the ability to develop and share recommendations succinctly and accurately.
  • Solutions oriented, problem solver, with the ability to drive decisions in a fast-paced environment.
  • Demonstrated ability to establish trust and inspire confidence across all levels of the organization.
  • Collaborative work style, ability to partner effectively with leaders and staff at all levels of the organization across multiple teams.
  • Personable, approachable, with strong people skills.
  • Discrete and able to handle sensitive and/or confidential information.
  • Software requirements include Microsoft Office and knowledge of Adobe Creative Suite preferred.

 

This is a fully in-person (5 days in office per week), full-time salaried position with benefits (including Healthcare, Dental, Vision and 401(K)). The salary for this position ranges from $60,000 - $65,000, commensurate with qualifications and years of experience.

The successful candidate will work under the WXY Principals and CFO to perform an array of human resource management functions that support WXY’s successful practice, as well as its people and firm culture. The Human Resources Manager will support a positive environment that produces innovative work with a sustainable business model and growth opportunities for its staff. This description reflects the core activities of the role but is not intended to be all-inclusive and changes to the position duties may be required from time to time.

 

 

Responsibilities

  • Daily oversight and facilitation of WXY staff concerns and questions
  • Enforcement of and updating of WXY policies (e.g. the WXY Employee Handbook) and implementation of communication around policies
  • Manage new staff onboarding processes
  • Oversight and staff preparation for annual reviews and ongoing “advisor/mentor” roles
  • Identification of, review of, recommendations for and coordination of training needs
  • Tracking of staff benefits related to professional development - stipend, NCARB licensure exams, etc.
  • Management of any staff probationary periods and employee termination if required
  • Review of WXY timesheet recording, including alignment of PTO with PTO policies
  • Management of benefits (401K, health insurance, etc.) and bi-weekly payroll
  • Coordination of hiring processes, including the advertisement of openings (potentially through the use of hiring platforms), coordinated development of job descriptions, working with senior staff and principals for their input during the candidate interview processes, pre-screening interviews, and negotiations of salary and benefits (as needed, and in conjunction with senior staff and principals)
  • Coordination of intern hiring and onboarding with senior staff
  • Management of visa applications (with external legal team support)
  • Development of DEI policies, including best hiring practices, ongoing review of WXY salaries and training
  • Work with Studio Coordinator and marketing team on the coordination of frequent WXY team workshops and events
  • Tracking of employee rewards and stipend (as described in the Employee Handbook)
  • Manage employee offboarding processes
  • Support CFO in annual compensation planning and processes, including the development of total compensation statements, tracking salaries and promotions and the associated administrative work

 

Qualifications

  • Bachelor's degree and 6+ years of related human resources experience with knowledge across the full breadth of HR areas of expertise
  • Architecture sector or professional services experience preferred
  • Demonstrated ability to establish trust and inspire confidence across all levels of the organization
  • Strong leadership skills, including the ability to confidently motivate, mentor, and guide
  • Strong knowledge of Federal and NY employment laws and regulations
  • Ability to execute against organizational HR and business goals
  • Understanding of HR trends so WXY uses current best practices in the field
  • Solutions oriented, problem solver, with the ability to drive decisions in a fast-paced environment
  • Ability to maintain strict confidentiality and manage sensitive conversations
